Virtual Speaker Preparation Guide: Technical Requirements and Best Practices

1. Joining the Event 

  • Zoom Link and Meeting ID: 

You will receive an email with the Zoom link and Meeting ID. Please click the link to join the meeting. If prompted, enter the Meeting ID and password provided.  

  • Zoom Installation: 

Ensure you have Zoom installed on your device. If not, you can download it from zoom.us.  

  • Joining Time: 

Please join the meeting at least 15 minutes before the scheduled start time for a quick tech check. Your stream technician will guide you through this process. 

2. Technical Setup 

  • Internet Connection:  

Use a stable and high-speed internet connection. Wired connections are preferred over Wi-Fi for better stability.  

  • Device:  

Use a computer or laptop with a webcam and microphone. Avoid using smartphones for better screen sharing and functionality  

  • Headset: 

Use a headset or external microphone for better audio quality and to reduce background noise. 

3. Camera Positioning and Lighting 

  • Camera Position:  

Position your camera at eye level to create a natural and professional appearance. Ensure your face is centred on the screen.  

  • Lighting:  

Ensure you have good lighting. If required, position a light source in front of you to avoid shadows on your face. Natural light from a window or a desk lamp can work well.  

  • Background: 

Choose a clean, uncluttered background. If necessary, use a virtual background, but ensure its professional and not distracting. 

4. Screen Sharing 

How to Share Screen:  

  • Click on the “Share Screen” button in the Zoom toolbar.  
  • Select the specific application or screen you want to share.  
  • Click the “Share” button.  

If possible, take time at the start of the session to test the screenshare to ensure you’re comfortable with this. 

5. During the Event 

  • Mute/Unmute:  

Keep your microphone muted when not speaking to avoid background noise. Use the space bar as a push-to-talk option if you need to speak briefly.  

  • Video: 

Keep your video on during your presentation for better engagement. However, turn it off during breaks if necessary.  

  • Engagement: 

Engage with the audience by looking into the camera, smiling, and using hand gestures. Speak clearly and at a moderate pace
